Seven IT tips for Non-Profits

Consult with an IT company familiar with the unique needs of a non-profit organization.

They will know how to make your dollars go much further. Some even give discounts for non-profits on labor. An IT services company that is “non-profit aware” will also be familiar with software solutions that are unique to non-profits.  “Donor Perfect” and “GIFTS” are software solutions that can greatly help you target and manage your fundraising efforts. Non-Profit aware companies can also help you by writing plans and quotes for services and equipment needed that have a grant writer or donor in mind. This may make it easier to get a donation or grant to help offset the cost of a quality information system.

Develop a proactive relationship with your IT Provider.

There are two types of relationships to have with an IT service provider: “Proactive” and “Break/Fix”. Pick Proactive! You’ve seen the VW Beetles, Mini Coopers and the like running around. Those types of companies most often offer “break/fix” relationships to their customers. It breaks, you call them, and they (sometimes) fix it. They are there to fix the one problem in front of them and give you a bill. There is no real relationship to your organization because it is impossible for them to provide you one in their business model. You may think you’re saving money. You are most probably not. This is NOT the type of relationship you want to have with your IT provider. They are addressing the symptom, not the disease because: a) They don’t have the bandwidth to do so and, b) It is more profitable for them to do business this way.  Example: You discover what may be a virus on your computer. You call up (let’s call them) “Make it Worse” and they come out to clean the virus off of the computer. You pay them well over $100. Did they take a quick look at all of the computers to make sure you are properly protected with a centralized virus protection software?  Did they tell you how this happened and educate you how to minimize a reoccurrence? Most probably not. They’d rather leave and have you call them back when the next one gets infected. A pro-active company will offer you a centralized solution to manage the antivirus protection for all of your computers. This may cost you a little more now but would save you money for future service calls down the road.

Remember the Computers!

IT infrastructure is often not in the budget, or at best, almost always not sufficiently funded. This is because it is often the hardest to get your head around. As a result, you’ll find yourself scrambling to create a hodgepodge computer system, often haphazardly put together by well-meaning people with little to no experience in building a secure and reliable business class network that effectively and reliably provides the ability to collaborate and share information easily. Sitting down with an advisor familiar with IT Services budgeting can help you plan for this expense.

Think and budget three years ahead.

This may seem impossible, but it’s not as hard as it may seem. The process involves sitting down with your trusted IT advisor and telling them your hopes, dreams and fears for the organization. From there, a full service IT provider should be able to offer you a roadmap and budget for a total system that doesn’t get in the way of those concerns and actually makes your organization more productive. That way, things like software upgrades and life expectancy of equipment are in the plan and not surprises that you didn’t count on.

Working with your IT provider to manage your purchases is the key to getting the most out of this resource and saving lots of money.

Think mobile!

By providing a “work anywhere” environment that keeps everyone connected, you may be able to attract higher quality (and otherwise unavailable) employees for less money. Making it very easy to work from anywhere generally results in getting more from the people you hire.

Is “the cloud” for me?

“The cloud” is being sold as the panacea and one-size-fits-all solution. It is not. There are many flavors of cloud computing. There’s also “the private cloud”. This is a mixture of outsourcing and owning the infrastructure. Understanding ALL of the pros, cons and TOTAL cost of all flavors of cloud computing is important in making an informed decision as to what, if any, services you might want to outsource and what you should keep in house.
